PostSubject: AGM minutes from meeting 20 October 2009   AGM minutes from meeting 20 October 2009 Icon_minitimeSat Oct 31, 2009 7:09 am

The meeting commenced around 8.00 p.m.

  • In the absence of a Chairman Bob Gilman welcomed all to the meeting.

  • A roll call was taken of all pubs and clubs attending, and also of the number of teams they would be entering. From the meeting it was indicated that 24 teams would be taking part. In addition the Fox and Hounds (Filby), an existing team, had indicated they would be entering a team, but were not present at the meeting.

  • Resignations were accepted from the following members of the Committee:-

Tony Quin, Gavin Brown and Maurice Cliffen. They were thanked for their support.

  • Nominations were taken for new Committee members and the following were elected unanimously:-

Alan Fry, (having been co-opted to the Committee the previous season).

John Fowle, taking on the role of Chairman.

Kevin Steadman, taking on the roles of Secretary and Treasurer.

4 existing members remained on the Committee, being: - Shane Fenton, Terry Storey, Bob Gillman and Andy McFarlane

  • Proposals for Changes to the League Rules and Operation

(a) It was proposed that matches would comprise of 15 games of singles, requiring a minimum of 5 players in a team (i.e. doing away with the doubles and a requirement for 6 players in a team)

After discussion this was unanimously rejected.

(b) It was proposed that we introduce Divisional Singles and Doubles competitions in addition to the current Open Single and Doubles competitions. Thus the teams in Division 3 would play against other Division 3 players only, and likewise for the other Divisions.

After discussion this was accepted, almost unanimously.

(c) The format of Finals Night was discussed, the proposal being that it should be a more social event, including a raffle and possibly a disco or such like after the trophy presentations.

There was much discussion about this, and how it might work and how well it might be supported. This will involve establishing a raffle, to be supported by all teams and Landlords. It will also require changes to the matches played on Finals Night. The Team KO and Team Plate finals will be played prior to Finals Night, leaving the Open Singles and Doubles and the Divisional Singles and Doubles and the Landlord’s finals to be played on Finals Night.

Following the discussion it was agreed that we will proceed on this basis this year.

(d) It was proposed to change the result card process. The proposal is to maintain the requirement to text the results of matches following completion, as now, noting

that BOTH teams are actually required to text the result through. Result cards will still require completing (as they are required for issue resolution and ensuring qualifying criteria are met for the individual competitions) but rather than posted to the Secretary they should be kept at the home venue. They will then be collected periodically by a Committee member or delivered to the Committee at the competition draw meetings. To enable this a result card will be e-mailed to all teams/venues with a copy to be printed by the home team for each match. This will save on posting and also production of cards. It will also avoid the problem of teams running out of result cards, as further copies can be printed as required.

After discussion this was accepted unanimously

  • Any other Business

There was some discussion regarding the start date and it was agreed that we will continue to aim for Thursday 29th October, but if not it will be Thursday 5th November. The challenge is whether we get all the appropriate registration forms returned and have everything sorted out at the Committee meeting this Sunday 25th October, and distributed in time for the following Thursday.

There was discussion regarding Thursday 5th November, and whether it was prudent to have matches that night. It was concluded that if teams could not play then they should postpone the match (giving their opponents 24 hours notice as required under the rules). Should disputes arise over matches postponed on the 5th, as the matter has been discussed, the Committee are likely to be sympathetic towards the postponement.

A question was raised regarding the playing rules. The games rules are the World Rules (without the timing restriction) and a copy will be e-mailed to all team contacts before the League commences. (Although not stated in the meeting - a copy of the rules should be available for reference at each venue when a match is being played.)

There was discussion about whether we should have 3 leagues or move to 2. There are considerations regarding the finish date of the League and the commencement of the Summer leagues, both pool and darts. It was commented that the league season has become quite short. The Committee will take this on board as much as possible in establishing the leagues for this season.

The Chairman advised that registration forms could be collected and fees paid immediately following the meeting. The annual fee remains at £25 per team plus a deposit of £20 towards fines (which is carried over and or topped-up for existing teams).

The meeting closed around 9.25 p.m.
